What consent do we need before recording participant information?
You must have the participant's express written consent (or guardian consent where applicable) before collecting information in Dibs.
Only users explicitly granted access by a Master user can view the data.
How do we protect participant privacy when using Dibs?
All sensitive information is handled with care and Dibs is aligned with the Australian Privacy Principles.

How is participant data secured in Dibs?
All data is encrypted in transit and at rest.
The service is hosted on servers located in Australia by Amazon Web Services, which has ISO/IEC 27001:2022 certification.
What should we do if a participant withdraws consent?
You can remove data at any time by opening the client record, selecting Edit Client Details, and then Delete this Client.
Please note that all deletions are permanent.
What happens if a participant reports that data was collected without consent?
Contact us for assistance.
We will verify identity, place a hold on the client record, and request evidence of consent from the creating user.
If consent cannot be demonstrated, access may be revoked.
What is the protocol for a notifiable data breach?
If a Notifiable Data Breach occurs, Dibs will notify affected users and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme.
How much does Dibs cost for providers?
Dibs is currently in an early-access period and free to use.
A subscription model is planned for later ($5 per client per month).
If a subscription expires, existing data remains accessible, but staff cannot add new data until the subscription is active again.
Can provider teams use NDIS/NDIA funding to pay for Dibs?
You choose how to pay. Dibs does not lodge NDIA claims or invoice plan managers directly.
Please confirm funding suitability with the participant's support coordinator or plan manager.
Can our organisation use Dibs outside Australia?
Dibs is currently only available to people living in Australia.

How do we manage staff access to participant information?
Use the Permission tab to grant or revoke access for team members.
